1. Overview
Pixel LMS Education ("Pixel LMS", "we", "us") operates an education platform covering our public course-discovery site, the admissions and counselling process, and the staff and student dashboards used to deliver classes, assignments, tests, and results.
This policy explains what personal data we collect across those surfaces, why we collect it, who we share it with, and the choices you have. It applies to visitors browsing our public pages, enquirers, enrolled students, guardians, and staff (teachers, counsellors, and administrators) who use the platform.
2. Information we collect
We collect information in three ways: what you give us directly, what is generated as you use the platform, and what comes from your device and browser.
- Account & profile data — name, email, phone number, date of birth, gender, address, and password (stored hashed, never in plain text) when you register, enquire, or are enrolled by our counselling team.
- Academic & enrolment data — the batches, courses, and admissions you hold; attendance; assignment submissions; test scores and answer sheets; lesson progress and bookmarks; certificates issued; gradebook entries.
- Payment data — fee plan, instalment schedule, and payment status. Card and UPI details are captured and processed directly by our payment gateway partner; we store only the resulting transaction reference and amount, never full card numbers.
- Communications data — enquiries you submit, support messages, and the content of notifications we send you by email, SMS, WhatsApp, or in-app.
- Usage & device data — pages visited, features used, approximate location derived from IP address, browser type, and device identifiers, collected automatically through standard web logging.

3. How we use your information
- To create and administer your account, and to admit you into the batches and courses you enrol in.
- To deliver the service itself — course content, assignments, tests, attendance, doubts, gradebooks, and certificates.
- To process fee payments, send reminders, and maintain financial records.
- To send you service communications (admission confirmations, class schedules, results, fee reminders) and, where you have not opted out, promotional messages about new batches or offers.
- To respond to enquiries and support requests.
- To monitor, secure, and improve the platform, including detecting misuse and debugging errors.
- To comply with legal, regulatory, and tax obligations applicable to our institution.
4. How we share your information
We do not sell personal data. We share it only with the following categories of recipients, and only as needed for them to perform a specific function on our behalf:
- Payment gateway and banking partners, to process fee payments and refunds.
- Email, SMS, and WhatsApp messaging providers, to deliver notifications you are entitled to receive.
- Cloud hosting and video-storage providers, to store course content, recordings, and platform data securely.
- Teachers and staff assigned to your batch, limited to the academic data needed to teach, grade, and support you.
- Regulators, auditors, or law enforcement, where legally required to do so.
5. Cookies & tracking
We use strictly necessary cookies to keep you signed in and to remember basic preferences. We do not use third-party advertising trackers. Where analytics cookies are used to understand aggregate site usage, they are configured to avoid identifying you personally wherever possible.
You can block or delete cookies through your browser settings; doing so may prevent parts of the dashboard (such as staying signed in) from working correctly.
6. Data retention
We retain academic records (enrolments, results, certificates) for as long as required by applicable education-record and tax regulations, and typically for the duration of your relationship with us plus a reasonable period afterward for reference and dispute resolution.
Marketing and enquiry data for people who never enrol is retained only as long as needed to follow up, or until you ask us to delete it.
7. Data security
We apply role-based access controls so staff can only see the students, branches, and records relevant to their role. Passwords are stored hashed, data in transit is encrypted (HTTPS), and access to production systems is limited to authorised personnel.
No system is completely secure. If we become aware of a breach affecting your personal data, we will notify affected users and relevant authorities as required by law.
8. Students under 18
Many of our students are minors enrolled through a parent or guardian during admission. Where a student is under the age of majority, the enrolling parent or guardian is treated as having provided consent to this policy on the student's behalf, and may exercise the rights described below for their child.
9. Your rights & choices
Subject to applicable law, you may:
- Request a copy of the personal data we hold about you.
- Ask us to correct inaccurate profile information (most fields are editable directly from your dashboard).
- Ask us to delete your data, subject to our obligation to retain academic and financial records for the periods described above.
- Opt out of promotional (non-service) email, SMS, and WhatsApp messages at any time using the unsubscribe/opt-out option on the message itself.
10. Third-party links
Our public pages may link to third-party sites (for example, a payment gateway checkout page). We are not responsible for the privacy practices of sites we do not operate — please review their own policies before sharing information with them.
11. Changes to this policy
We may update this policy from time to time as our platform or legal obligations change. We will update the "Last updated" date above, and for material changes, notify active users through the platform or by email.
